Business subscriptions & billing

These terms apply to Ordafy Business platform subscriptions (Ordafy Pro, Business+, and Enterprise) billed to your Business Group on business.ordafy.com. They supplement our Terms of Service. By starting or continuing a paid subscription, you agree to this document.

1. What the subscription covers

A Business Group subscription is an operations and platform fee. It unlocks plan limits and features for your Business Group: locations (organisations) under one group, pooled storage, team seats, Business Vault, reporting, and related tools on Ordafy Business.

It does not replace or include: card processing fees on customer sales, marketplace commission on Ordafy Shop, Stripe Connect payout fees, or fees charged by third parties. Those are described in our Payments & payouts page and at checkout when you sell.

One subscription applies to the whole Business Group. You do not purchase a separate platform subscription per location unless we expressly agree otherwise in writing (e.g. Enterprise).

2. Plans & limits

Plan names, prices, and feature limits are shown in the Business app (Billing & plans) at the time you subscribe. Unless stated otherwise on that page:

  • Free — one location, limited team seats, basic Business Vault, and pooled storage suitable for getting started.
  • Pro — multiple locations (as shown in-app), expanded team seats, full Vault, exports, reminders, and higher pooled storage.
  • Business+ — unlimited locations subject to fair use (no automated abuse or resale of platform access), group dashboard, advanced reporting, cross-location staff, and higher limits.
  • Enterprise — custom quotas and API access; typically agreed via sales, not self-serve checkout.

We may update plan limits and feature flags for new subscribers. For existing subscribers, material reductions to published entitlements will be communicated in advance where required by law or contract.

3. Fees, billing cycle & tax

Subscriptions are billed in advance on a monthly or annual cycle, as you select at checkout. Annual plans may be offered at a discount shown in the app. Payment is processed by Stripe on our behalf. You authorise us (via Stripe) to charge your chosen payment method for recurring fees until you cancel.

Prices shown in the app are exclusive of VAT and other applicable taxes unless we state otherwise. You are responsible for any taxes due on the subscription charge where applicable. Invoices and receipts are available via the billing portal or as Stripe provides.

Subscriptions auto-renew at the end of each billing period unless you cancel before renewal. If a promotional offer, trial, or coupon applies, its specific terms (duration, eligibility, and what happens when it ends) are shown at sign-up and override conflicting general terms for that offer only.

4. Who may subscribe & authority

You must be authorised to bind the Business Group and any organisations in it. By completing checkout or managing billing, you confirm you have authority to incur charges on behalf of that group. You are responsible for ensuring billing contact details are current and that only appropriate staff have billing access.

5. Upgrades & plan changes

You may upgrade or change plan tier through Billing in the Business app or the Stripe customer billing portal we link to. Upgrades typically take effect when payment succeeds; proration may apply as calculated by Stripe for the remainder of the current billing period.

Moving to a lower tier is a downgrade and is subject to section 7 below. You must bring usage within the new plan limits (e.g. archive excess locations) before or after downgrade as the app requires.

6. Cancellation

You may cancel anytime from Settings → Billing & plans using the manage billing / billing portal link, or by contacting info@ordafy.com.

  • Cancellation stops future renewal charges. It does not automatically refund amounts already paid for the current billing period unless required by law or expressly offered by us.
  • Paid access to subscription features generally continues until the end of the current paid period, then your Business Group reverts to Free limits (unless your subscription is terminated earlier for breach or non-payment).
  • Cancelling the platform subscription does not cancel Stripe Connect accounts, customer orders, or payout obligations for commerce you already conduct.

If you are a consumer in the UK/EEA with a statutory cooling-off right, nothing in this section removes rights you cannot waive by law; contact us if you believe that applies.

7. Downgrades, expiry & excess usage

When a paid period ends without renewal, or you downgrade to Free or a lower tier:

  • Features above the new plan (e.g. group dashboard, report builder, advanced exports) may be disabled immediately or at period end as shown in-app.
  • If you exceed location or team limits, you must archive or remove excess locations or members. We may restrict creating new locations or invites until you are within limits.
  • Pooled storage above the new quota may require you to delete files; we may block new uploads until usage is within quota.
  • Your commerce data, orders, and payouts on existing locations generally remain; we do not delete your business solely because a subscription ended, subject to our retention and Privacy Policy.

8. Failed payments

If a renewal charge fails, we may mark the subscription as past due and retry payment per Stripe’s rules. We may show in-app notices and limit upgrades or new usage until payment succeeds. Persistent non-payment may result in downgrade to Free and loss of paid features. We are not liable for losses arising from suspended features when payment was not received, except where we cannot exclude liability by law.

9. Suspension for breach or misuse

We may suspend or terminate subscription access immediately if you breach our Terms of Service, misuse the platform, or fail to pay when due after reasonable notice where appropriate. Suspension does not relieve you of amounts already due. We may report fraud or abuse to payment providers and authorities where required.

10. Enterprise & sales-assisted plans

Enterprise (or custom) plans may be agreed by order form or contract. Unless that agreement says otherwise, Enterprise billing may be invoiced outside self-serve checkout; API access and custom quotas apply only as agreed in writing. Contact sales or support for Enterprise enquiries.

11. Relationship to commerce & refunds on sales

Refunds to your customers for products, services, or bookings follow our Refund Policy and your policies — not this subscription document. Disputes on platform subscription charges should be raised with us promptly at info@ordafy.com and, where relevant, with your card issuer under their rules.

12. Disputes on subscription charges

If you believe a subscription charge is incorrect, contact us at info@ordafy.com within 30 days of the charge with your Business Group name and invoice reference. Card chargebacks may be handled under card scheme rules; we may provide evidence of your agreement to these terms and use of paid features. Abusive chargebacks may lead to account suspension.

13. Data & privacy

We process billing contact details, subscription status, and payment metadata to operate billing. Stripe processes card data under its privacy notice. See our Privacy Policy (Subscription billing) for more detail.

14. Changes to plans, prices & this document

We may change subscription prices and plan limits for new purchases. For renewing subscriptions, we will give notice where required by law before price increases take effect on renewal. We may update this document; the “Last updated” date will change and continued use after notice constitutes acceptance where permitted.
